I’ve been using Gmail every day since 2011, and over the years I’ve learned lots of useful tips, tricks, and features that make my everyday life easier. Here are 10 of my favorites that I guarantee you probably don’t know about!

Gmail offline

The coolest thing about Gmail offline is that it syncs with your account when you’re back online. I don’t have to worry about saving my emails because they’ll be there waiting for me the next time I log in! I can also set a timer before going offline and those messages will appear just as soon as I’m reconnected, so I can get them to read even if I don’t have time to read them right away.

Enable keyboard shortcuts

There are a number of keyboard shortcuts that can make your life easier when you’re using Gmail. Here’s how to enable them: 

  1. Go to settings.
  2. Click on General Settings.
  3. Select Keyboard Shortcuts in the left sidebar.
  4. Click on Add a shortcut.
  5. In the box labeled, Shortcut key, enter the key you want to use.
  6. Enter the phrases you want your shortcut to work for, separated by commas (e.g., new email message, reply all).
  7. Confirm your changes and save!

Use canned responses

One of the most helpful features for people who send a lot of emails is the Canned Responses tool. This feature allows you to save responses that you might use over and over. To use this, find the message you want to save in your inbox, click on it, and then click the arrow next to Reply. Click on More and then select Save as Canned Response. Now when you want to use that canned response again just go back up to the arrow next to reply and select it from your list of canned responses.

Use Google Calendar in Gmail

There are a number of really cool features in Gmail that you can use with Google Calendar. Here are the basics: 

* Click on the Calendar button in the top right corner of your email. * Type in an event’s title, location, and time.

Use filters

Want to know how to use filters? It’s really easy. When you’re viewing your inbox in standard mode, click on the filter icon in the upper-right corner of your screen. This will bring up a list of all the filters you’ve created. If you want to create a new filter, scroll down and click on Create new filter. Type in what kind of messages you want to see that meet those criteria and then select which folder or labels those messages will go into. The results will be shown at the bottom of your screen so that it’s super easy for you to find them!

Use the stars feature

One of the most underrated features in Gmail is the stars feature. The stars feature allows you to easily mark emails as important without having to scroll back through your inbox and come up with a clever subject line. To use this feature, simply click on the star next to any email. Once clicked, that email will have a gold star next to it. If you want to remove the star from an email, just hover over the gold star and it will turn into a gray one that you can then click on again.

Use the sign out all other web sessions feature

If you find yourself having multiple tabs open for different things, you may want to sign out of all other web sessions. Here’s how: 

  1. Click the gear in the upper right-hand corner of your window and select Settings. 
  2. Click the Accounts and Import tab. 
  3. At the bottom, click on Sign out of other web sessions.

Use multiple inboxes

One of the most useful features of Gmail is that you can have multiple inboxes, allowing you to filter your emails. This way, you’ll never have to worry about missing an important email again. To create a new inbox: click the Create another inbox button, select Create as a label, and then type in the name for your new inbox. From there, select who will be able to see it by clicking on Choose who can see this label. Once you’re done creating your new inbox, all future emails will automatically show up in that category.

The priority inbox

The Priority Inbox is one of the most underutilized features of Gmail. It’s a great way to sort through your inbox and get rid of all the spam mail. It also filters out mail that you’re less likely to read, such as newsletters or updates. To enable it, click on the gear icon in the upper right-hand corner and go to Settings. From there, scroll down until you see Inbox type and click on Priority Inbox. If you want to turn off this feature at any time, just follow these same steps and uncheck Priority Inbox.

The nested labels feature

You can add labels to your labels. This allows you to organize and manage emails in a more complicated way than just regular folders. To do this, simply right-click on the label you want to nest and select Nest Label. Then, choose the label that you want it nested under.
